How to write a quote

A quote tells a customer exactly what you will deliver, for how much and on which terms. A clear quote is easier to accept. These are the parts every quote should have.

  1. Identify both parties

    Put your company name, address, tax ID and contact details at the top, with your logo. Then add the customer's company name, the contact person and their address.

  2. Number and date the quote

    Give each quote a unique number and an issue date so that you and your customer can refer to it later. Add a validity date: it tells the customer how long the prices are guaranteed.

  3. List products and services line by line

    Describe each item so that it cannot be misunderstood: what it is, the quantity, the unit and the unit price. Group related items into sections when the quote is long.

  4. Show discounts and taxes separately

    Apply discounts per line, per section or to the whole quote, and state the tax rate for each line. The customer should be able to see the subtotal, the discount, the tax and the grand total at a glance.

  5. State your terms

    Write down payment terms, delivery time, warranty and any conditions under which the price may change. Terms agreed in writing prevent disputes later.

  6. Add notes and a signature area

    Close with any remarks the customer needs and leave room for both parties to sign. Then export the quote as a PDF and send it.

Frequently asked questions

Is this quote generator really free?

Yes. You can create a quote and download the PDF without paying and without creating an account.

Where is my data stored?

Only in your browser. What you type is kept in the session storage of this tab so that it survives a page reload, and it is deleted when you close the tab or the browser. The content of your quote is never sent to a server, and the PDF is generated on your own device.

Is there a download limit?

Yes. The free tool allows 3 PDF downloads per day from the same IP address. To count them, the site keeps a counter for one day against a one-way hash of your IP address; nothing about the quote itself is sent.

Can I add my own logo?

Yes. Upload a PNG or JPG logo in the Company Details section. The image stays in your browser and is placed at the top of the PDF.

Which currencies and tax rates can I use?

You choose the currency for the quote and type the tax rate for each line item, so the tool works with VAT, sales tax or no tax at all.

What is the difference between a quote and an invoice?

A quote is an offer made before the work starts: it states the price and the terms you propose. An invoice is a request for payment issued after the goods or services have been delivered or agreed.

Can I save my quote or send it for approval?

Not in the free tool: the quote is gone when you close the tab. In Fiyox you can save quotes and send them for E-Approval. Your customer receives an email with a summary, a 6-digit one-time code and a secure link valid for 14 days; they can review the quote, send a note or a revision request, and approve or reject it with the code. Every action is recorded over the secure link.
